WORKING WITH SERICA

Service terms, payments and changes.

This page explains the usual path from a private enquiry to a confirmed commission. The written proposal, engagement letter, invoice and any named supplier terms for your request remain the controlling documents.

WORKING WITH SERICA

Clear before commitment.

Serica will state what is included, what remains conditional, who is supplying each regulated or specialist service, and which payments or approvals are needed before instructions are issued. An enquiry, conversation or preliminary idea does not by itself create a booking or service commitment.

FROM ENQUIRY TO CONFIRMATION

One written scope, then deliberate commitments.

The exact sequence may vary with the request, but the decision points should remain visible.

01

Define the brief

We confirm the client, dates, guests, purpose, fixed decisions and the authority to approve scope and spending.

02

Review the proposal

The proposal states Serica's work, fees, estimated or quoted third-party costs, payment milestones, exclusions and material dependencies.

03

Approve and fund

Serica instructs suppliers or begins committed production only after the required written approval and cleared payment have been received.

PAYMENTS, CHANGES AND CANCELLATION

Practical guidance for an active commission.

The specific commercial terms for your commission will be stated in writing before you commit.

Serica fees and third-party costs

Serica's planning, concierge or production fee is distinguished from hotels, transport, venues, meals, practitioners and other third-party costs. Where practical, these items are shown separately.

Invoices and payment

The proposal or invoice states the currency, payee, taxes where applicable, due date and payment milestone. Do not send card details, bank credentials or other payment information through the website enquiry form.

Changes requested by the client

Ask for changes in writing. Serica will check feasibility, timing and any revised fee or supplier cost before proceeding. A supplier may charge for a change even when the overall commission continues.

Cancellation by the client

Give notice in writing. The cancellation schedule in the accepted proposal applies. Work already performed, committed Serica fees and third-party costs that cannot be recovered may remain payable or non-refundable.

Supplier changes or cancellation

Availability, access, transport, weather and supplier decisions can alter a plan. Serica will communicate the available alternative, rebooking or recovery route; any refund remains subject to the relevant supplier's terms and the amounts actually recovered.

Client information and approvals

The client is responsible for accurate names, travel documents, permissions, material health, mobility and dietary information shared through an appropriate channel, and timely approvals from the person authorised to decide.

Licensed and specialist services

Transport, aviation, security, medical, legal and other regulated services are contracted and delivered by appropriately qualified providers. Serica coordinates the working plan but does not replace the provider's professional responsibility.

Urgent and emergency situations

After-hours support applies only where the service relationship, channel and response expectations have been agreed. Serica is not an emergency medical, security, legal or public-authority service.

A PRIVATE ENQUIRY

Start with the request, dates and decision-maker.

We will explain the information, timing and commercial decisions needed before anything is committed.
